Minutes of Friends of school meeting 17/11/16

AGENDA 
●discuss organisation of the Christmas fair 
☆pot goodies - this stall causes the most congestion and therefore needs relocating. It will now be set up and run in EYFS. - Each pot goody has a raffle ticket on it. £1 a go. Get a raffle ticket which relates to a pot goodies. A winner everytime. 
☆raffle tickets - letter being sent out to allow parents to buy as many strIps as they wish before the fair as some people cannot attend. - raffle tickets also available at the fair. - Miss Thornicroft to run raffle. - Friends of school to sort out the raffle tickets to take pressure off office staff. Once letters have gone out, volunteers needed to help to allocate and fold tickets ready for the fair. 
☆stalls - Santa's Grotto to be relocated to EYFS quiet room. How much are we charging? - Y6 games to be held in Y6 classroom - Face Painting and nails to be put in the Y6 corridor. Would this be better in the library? - Raffle to be located in the entrance hall - calender to be located in the entrance hall - decorate bauble and gingerbreadman to be located in EYFS as something to keep Santa's visitors occupied - who is to purchase the baubles? - water2wine located in the hall - books/comics located in the hall - cakes located in the hall - hotdogs located in the hall - apple bobbing located in the hall - toys located in the hall - chocolate tombola located in the hall - Y2, 3, 4, 5 stalls to be located in the hall - extra areas available - library (if not used for nails and face painting), cloakroom, toilet corridor - were we having a tuck shop? ☆text sent out to all parents about stalls available for £15 + a raffle prize for those with a business who would be interested. Are we going to open this to other businesses outside school such as Usbourne books/phoenix trading cards etc, if so, when? How many tables can we fit in?
☆raffle prize letters printed and shared out to be delivered to local businesses ☆all items for fair are to be in by Wednesday before fair which gives us time to get some things ready such as the chocolate tombola etc 
☆Becca Turner found a carrot game. Are we including this in the list of stalls? Could be something to do with snowmen? 

AGENDA FOR NEXT MEETING ON 21/11/16 
●how much did the toast sale make on Friday 18/11/16 for children in need/school? 
●discuss questions highlighted in last meetings minutes 
●continue to organise location of stalls 
●signs to be made to let parents know where things are located 
●draw a map/list of stalls and locations to be printed on a letter to parents. Should this also include the proposed changes to the pot goodies so parents can explain to their children prior to the fair 
●Ask Miss Thornicroft/office staff if there has been any interest in £15 stalls and allocate a space 
●do we need to purchase anything? 
●Need to make sure that we are able to record the amount of money each stall makes 
●should we charge an entrance fee per family? Maybe £1? 
●do we need to have more stalls? (Hot chocolate cones, guess the weight of the cake, silent auction? 
●if we are allowing outside stall holders do they need/have public liability insurance?
